Late payments are more than a headache. They drain your momentum, delay payroll, and make it harder to plan for growth. With 61% of small businesses citing late payments as a top issue in 2024 (I’d be higher for 2025 so far if I were a betting man!), it’s time to build a proactive defense that keeps cash moving and reserves growing.

Here are four real-world strategies to help you out this coming week.

Start with these to take control of cash ASAP

1. Tighten Your Invoicing Process

  • Send invoices immediately upon job completion. Delays on your end train clients to delay payments too. You shouldn’t batch invoice.

  • Use invoicing software that sends auto-reminders at 7, 14, and 30 days.

  • Include clear terms like “Net 30” or “Due Upon Receipt” and late fees of 1.5% per month. Implement the late fees you all!

  • Accept multiple payment options to eliminate excuses: ACH, Wire, credit card, PayPal, or even Apple Pay.

2. Incentivize Early Payments

  • Offer a 2% discount for payments made within 10 days if giving Net 30 out. Make sure discounts make sense though and aren’t eating into margins.

  • This strategy is used by large wholesalers to speed up cash flow and it works for service providers too if done right.

  • Add this language to your invoice footer: “2/10 Net 30” means 2% off if paid in 10 days.

3. Use Invoice Factoring (short term) or Advance Payment Tools

  • Tools like Fundbox, BlueVine, and Melio let you get paid in 1–2 days while they wait for your client to pay.

  • These services often cost less than the damage caused by late payroll or unpaid rent.

  • Great for businesses with long project cycles or government clients who pay slowly, but not something I consider a long term solution at all.

4. Build Your Emergency Cash Reserve

  • Set a goal to save at least one month of operating expenses within 90 days.

  • Funnel 10% of every invoice payment into a “Do Not Touch” reserve account.

  • Automate it via your bank or accounting software so you don’t have to think about it.

  • Having just $5,000 in reserves gives you leverage when negotiating with vendors or taking on surprise expenses.
